Privacy Policy

Effective date: November 3, 2026

Tran Orthodontics ("we," "us," or "our") respects your privacy. This policy explains how we collect, use, and protect information when you visit www.tranortho.com, fill out a form on our site, respond to one of our ads, or call or text us.

This Policy Is Separate From Our HIPAA Notice

This policy covers our website, online forms, and ads only. Patient health records are covered by our HIPAA Notice of Privacy Practices, which is a separate document. You can ask for a copy at any of our offices.

Please don't send detailed medical information through our web forms or ad forms. If you need to discuss your health or treatment, call us or talk with us at your appointment.

Information We Collect

Information you give us. When you use a contact or appointment request form on our website, you may give us your name, phone number, email address, preferred office, and a short message.

Lead-form ads. If you respond to one of our Facebook or Instagram lead-form ads, Meta sends us what you entered. That includes your name, phone number, patient type, preferred office, and the best time to call you.

Calls and texts. When you call or text us, we receive your phone number and whatever you tell us in the call or message.

Information collected automatically. When you visit our site, we and our service providers may automatically collect your IP address, browser and device type, the pages you visit, the site you came from, and the time and date of your visit. We collect this with cookies and similar tools.

How We Use Your Information

We use your information to:

  • Respond to your questions and requests

  • Schedule consultations and appointments

  • Send appointment reminders and follow-up messages

  • Understand how people use our website so we can improve it

  • Measure how well our ads work and make them better

How We Share Information

We do not sell your personal information.

We share information only with service providers that help us run the practice and our website. For example:

  • Wix, which hosts our website and forms

  • Google, which provides advertising, conversion tracking, and website tools such as Google Search Console and Google Analytics

  • Meta (Facebook and Instagram), which runs our ads and lead forms

These providers handle information under their own privacy policies. We may also share information if the law requires it or to protect the rights and safety of our patients, our staff, or others.

Cookies and Advertising

Cookies are small files that a website stores in your browser. Our site and our providers use them to keep the site working, see how visitors use it, and measure whether our ads lead to inquiries. For example, Google Ads conversion tracking tells us when someone who clicked one of our ads contacts us.

You can block or delete cookies in your browser settings, but parts of the site may not work as well. You can also limit ad tracking:

Text Messages and Calls

If you request information or ask for an appointment, you agree that we may call or text you at the number you give us about your request and appointments. Our texts come from 301-327-1336. Message frequency varies, and message and data rates may apply.

To stop getting texts, reply STOP at any time. You can also call us at 301-949-6020 to tell us you don't want calls or texts.

Children's Privacy

Our website is not directed to children under 13, and we do not knowingly collect personal information from them online. Parents or guardians should submit information for minors. If you think a child has sent us information, contact us and we will delete it.

How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards to protect your information. No website or internet transmission is completely secure, so we cannot guarantee absolute security.

How Long We Keep Information

We keep information only as long as we need it for the purposes in this policy, or longer if the law or our professional obligations require it. When we no longer need it, we delete it or make it anonymous.

Your Choices and Rights

You can ask us to:

  • Tell you what personal information we have about you from our website, forms, or ads

  • Correct information that is wrong

  • Delete your information

  • Stop contacting you

To make a request, use the contact details below. We may need to confirm your identity first.

Some states give residents more privacy rights. Where those laws apply to us, we will honor your requests as they require. Patient health records are handled under our HIPAA Notice of Privacy Practices.

Changes to This Policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date at the top.
